This booking system is operated by the International Topper Class Association (GBR). We are the data controller for the personal data collected through this website.

We are committed to protecting your personal information and being transparent about what we collect and why, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What personal data we collect

When you make a measurement booking, we collect the following information:

• Championship number – to identify your boat
• Helm name – to identify who the booking is for
• Email address – to allow you to manage or cancel your booking from any device
• Date and time of booking – automatically recorded when you submit the form

When you sign up for a duty on the event rota (if self sign-up is enabled), we collect:

• Your name – to record who is covering each role
• Email address (optional) – to allow you to view and remove your own duties
• Phone number (optional) – so event officials can contact you about your duty on the day

We do not collect any payment information, sensitive personal data, or data from children directly. As this is a sailing event for juniors, all bookings are expected to be made by a parent, guardian or responsible adult.

3. How we use your data

We use the information you provide solely for the following purposes:

• To register your boat for a measurement appointment at the event
• To allow you to view and cancel your booking using your email address
• To allow event officials to manage the measurement schedule
• To produce a spreadsheet of bookings for use by the measurement team at the event

We will not use your data for marketing, share it with third parties for commercial purposes, or use it for any purpose unrelated to this event.

4. Our lawful basis for processing

We process your personal data on the basis of legitimate interests (Article 6(1)(f) UK GDPR) – specifically, the legitimate interest of organising and administering a fair and orderly measurement process for the event. We have assessed that this processing does not override your rights and freedoms.

5. Cookies and local storage

This website uses browser local storage (not cookies) to remember bookings you have made on the same device, so they are displayed conveniently on screen. This data is stored only in your browser and is not transmitted to our server – it is used purely for your convenience and disappears if you clear your browser data.

We also use a small session cookie (itca_session) which is essential for the secure operation of the admin area of this website. This cookie does not track you and is deleted when you close your browser.

We do not use any advertising, analytics, or third-party tracking cookies. We do not use Google Analytics or any similar service.

The only third-party service this page contacts is Google Fonts, which loads the typefaces used on this page. Google may process your IP address as part of this request. If you prefer to avoid this, you can use a browser extension to block external font requests.

6. How long we keep your data

Booking data will be retained for up to 3 months after the event date, after which it will be securely deleted. Data held in browser local storage on your own device is under your control and can be cleared at any time through your browser settings.

Under UK GDPR you have the following rights regarding your personal data:

• Right of access – you can request a copy of the data we hold about you
• Right to rectification – you can ask us to correct inaccurate data
• Right to erasure – you can ask us to delete your booking data
• Right to restriction – you can ask us to limit how we use your data
• Right to object – you can object to processing based on legitimate interests

Booking data is stored in a database on the web server hosting this site. Access to the admin area is password protected. We take reasonable technical and organisational measures to protect your data against unauthorised access, loss or misuse. We recommend this site is accessed over HTTPS, which encrypts data in transit.

10. Changes to this policy

We may update this privacy policy from time to time. The date at the top of this page will be updated when changes are made. We encourage you to review this policy before making a booking.
